community service work-study
information for employers
Welcome, and thank you for your interest in hiring Lesley University students through our Federal Work-Study program. We offer our students the opportunity to use their Federal Work-Study awards for community service. If your organization is a non-profit agency serving the community, please read the information below about how we can work together to provide great opportunities for Lesley University students.
About the Program
The Off Campus Contract (available below for download) will go into more legal detail, but here are a few key points about the program:
- THE COST TO YOU AND TO US: Lesley University's Federal Work-Study allotment will cover 75% of the student's wages and your organization will be responsible for the other 25%. Once you determine how many students you will be hiring, you need to determine your projected contribution to the total student earnings and forward payment to our office prior to the student beginning to work.
- HOURLY PAY RATE: Most off-campus positions are a Level C pay rate. For information about how Lesley's pay rate codes can be translated into dollar amounts, click here. If the pay rate we set is significantly different from what other employees of your organization are earning for performing similar duties, please let us know. Lesley University is committed to ensuring that our student employees receive equal pay for equal work.
- HOW STUDENTS ARE PAID: You and your student workers will need to complete the necessary steps to complete the hire process. When a hire is approved via email on the Student Employment website, students are eligible to be paid by our Payroll Office. Once you have hired students, we will provide you with time cards which should be submitted biweekly to our Payroll Office. You can find the schedule of time card due dates here.
- MORE INFORMATION: For more in-depth information on the Lesley University Work-Study program, please familiarize yourself with our Supervisor Handbook. The information in this handbook is intended for both on and off campus supervisors.
How To Apply
In order to apply, please submit the following forms to the Lesley University Financial Aid Office. The forms can be submitted via mail (29 Everett Street, Cambridge, MA 02138) or fax (617-349-8667).
- Lesley University Off-Campus Contract (Download this form)
- Lesley University Job Description Form (Download this form) - Please fill out as many copies of this form as you have different positions to request. If you would like to hire multiple students to perform similar duties, you only need to fill out one job description, and indicate how many students you are hoping to hire. Due to funding constraints, we are unlikely to approve more than 3-4 students for any one agency.
- IRS Letter indicating Non-Profit Status of Your Agency
How To Hire Lesley Students
Once your application is reviewed and accepted, we will post your position on the Lesley Student Employment website. Students seeking employment are directed to this site, and your posting will prompt interested students to contact the person listed as the supervisor/primary contact person. It is up to you to select the student(s) you would like to hire. Before any students may begin working for you the following steps must be completed:
- You must complete the Billing Worksheet (Download this form) projecting the expected earnings for each student you are hiring. Make sure to check with each student on the amount of his or her Federal Work-Study award, so you will know the maximum that he or she is eligible to earn.
- You must send a check to the Financial Aid Office, made payable to Lesley University, for your portion (25%) of the students' projected earnings. If students' earnings exceed this amount, we will bill you at the end of the academic year. If your students earn less than this amount, we will refund you the remaining funds at the end of the academic year.
- Each individual student must complete employment paperwork and submit it to the Financial Aid Office. The paperwork consists of a W-4 form (every student every year), and and an I-9 form (if applicable). Please see the Supervisor Handbook for more details. Students may not start working until you have an approved hire notification from the Financial Aid Office through the Student Employment website.
