LESLEY IDENTIFICATION CARD POLICY -
PLEASE READ the following IN ITS ENTIRETY
Lesley requires students, faculty, and staff to maintain a current identification card.
The ID card credential identifies the community member as a current student, faculty, staff, or also an alumni, affiliate or contractor of Lesley. Lesley University's identification and access privileges require rigid control and maintenance of the ID card.
Only current members of the Lesley community, or Lesley authorized affiliates, are issued IDs and access privileges. ID privileges are deactivated when the card holder leaves or separates from Lesley University. New ID and access privileges can be assigned as group status (Student, Faculty & Staff and other) changes.
Purpose
To outline the procedures Lesley Community members must follow prior to receive an identification card (ID). To outline the procedures Public Safety and the One Card Office must follow when issuing an ID to a member of the Lesley community.
Lesley University Identification- Lesley Card
The Lesley Card Office and the Department of Public Safety are responsible for the generation, maintenance and control of the Lesley identification and card access control system. All community members of the Lesley community are required to maintain an appropriate identification. The Lesley Card credential identifies you as a member of the Lesley community and allows the bearer certain privilieges (i.e. use of shuttle, access to computer areas...). The identification also serves as your school library card.
Lesley Card ID's may be obtained at the Lesley Card Office, located at 33 1/2 Mellen Street or at the Public Safety Office located on the Quad Campus. Lesley Card Office hours are Monday-Friday 10am to 5pm. The Department of Public Safety is open 24 hours, 7 days a week. Students are required to present proper identification (i.e. license) to the Public Safety representative before your Lesley Card can be obtained.
All community members must immediately report a lost or stolen Lesley Card ID to Public Safety or to the Lesley Card Office. Your lost ID will be deactivated from the IDsystemanda new one will be issued. If you should have any questions regarding your Lesley Card, you may contact the Lesley Card Office or Department of Public Safety. Information and requests for Lesley Card CASHLYNX should be reported to the Lesley Card Service Center at 1-888-841-3340 Monday-Friday 8am-6pm eastern/standard time, or to the Department of Public Safety at 617-349-8888.
Procedure
The Lesley community is divided into four categories; Students, Faculty & Staff (Employees) Alumni, and Others (Subcontractors / Vendors / Affiliates).
Students
A student must be actively enrolled in the current academic year in order to receive a Lesley ID. To obtain an ID, students must present a copy of their class registration and accepted photo identification (i.e. driver's license, or passport). Students who do not have a copy of their current class registration will be verified in Lesley's Colleague information program. If not active in the Colleague system, students must contact the Registrar's office for assistance.
Employees
All new employees must bring a photo identification (i.e. valid driver's license, or passport) to the Public Safety Office in order to obtain a Lesley ID card. If lacking photo identification they must be accompanied by an employee from their department for verification purposes. All new hire employees will receive designated group access.
Alumni
Lesley graduates are designated in Colleague as Alumni with related group privileges. If on campus, Alumni should obtain a Lesley Alumni photo ID in order to obtain access to designated campus facilities and services. Alumni can be verified at Public Safety by the Colleague system: Alumni list. If not listed, alumni should contact the Alumni Office.
Other (Subcontractors, vendor and affiliates)
Subcontractors (i.e. public safety, physical plant, food service, copy center...) are employees who have been contracted to work at Lesley. All contractors must posses an ID while working at the Lesley. All requests for subcontractor identifications must be made in writing by the department head (i.e. Captain of Public Safety or Director of Physical Plant). Contractors must be authorized and active in Colleague prior to the issuance of an ID.
Lesley Card Access Control System
A card access system has been installed in the residence halls and many other facilities throughout the Lesley Campus. The purpose of this system is to limit access by members of the Lesley community to certain sensitive areas on campus. The magnetic stripe on the back of your Lesley identification will activate these doors. The Lesley Card Office and Department of Public Safety monitors and maintains the card access system.
IMPORTANT: Never hold a card access door open for anyone (you may be liable for their actions). Every community member is required to swipe their own ID to access these areas.
If you have any questions or concerns about the card access system, please call, stop by, or email the Lesley Card Office at lesleycardoffice@lesley.edu or the Department of Public Safety at publicsafety@lesley.edu
Lesley ID Status Changes and Terminations
Lesley Employment Changes and Separation from Lesley
Lesley Card Office must change access privileges related to employment change and also terminate privileges at time of separation from Lesley employment. Most changes in employment do not require a new ID, simply a change in card privileges. Changes in employment status occur nightly when HR updates colleague to reflect employment changes or terminations. Standard employment procedure is to retrieve the ID of terminated employees and forward to Public Safety.
Student withdrawals, terminations, leave of absence
The Registrar will forward a "Student Information/Status Change Form" to the Public Safety/One Card Office and to Student Life for notification purposes. When a student graduates, withdraws, separates or takes a leave of absence the One Card Office must subsequently terminate or suspend access. This will be done nightly when the Registrar updates Colleague to reflect the student leave or matriculation from Lesley.
When a student returns from a leave of absence, or is reinstated, the Registrar will forward a "Student Information/Status Change Form" to Public Safety, Lesley Card Office, and Student Life for notification purposes. The Registrar will updated Colleague which will reinstate the student's access into the ID card system through the nightly cycle. Residential Life will updated residential information in Colleague to enable housing access. Returning students with a picture on file do not need photo identification. If no picture exists, then photo identification (i.e. license, passport) is required.
Replacement ID card fee is $15.00. Subject to change.
All Public Safety staff adhere to the ID policy as written. Questions about the ID policy and procedures should be forwarded by email to PublicSafety@lesley.edu or contact the Lesley Card Manager, Captain of Public Safety, or Director of Campus Services.
